Transparency in how we handle your information
Last updated: October 20, 2025
Look, we get it - nobody actually enjoys reading privacy policies. But here's the thing: we're architects, and just like we believe in transparent design, we think you deserve transparency about your data too.
At Jade Phantom Realm Architecture, we've built our practice on trust and clear communication. This policy explains what info we collect when you visit our site or work with us, and more importantly, what we do (and don't do) with it. We've tried to keep the legalese to a minimum - you're busy, we're busy, let's just be straight with each other.
We only collect what we actually need. Here's the breakdown:
When you reach out through our contact form or email us directly, we'll collect your name, email, phone number, and whatever details you share about your project. Pretty standard stuff - can't really help design your dream space without knowing who you are and what you're after.
If we're working together on a project, we'll obviously need details about your property, budget considerations, design preferences, and any site-specific info. This might include property addresses, photos you send us, and notes from our conversations.
Like most websites, we collect some technical stuff automatically - your IP address, browser type, which pages you visit, how long you hang around. It's mostly so we can see what's working and what's not, and make sure the site runs smoothly.
Here's what we do with the data we collect:
We won't sell your info to anyone. Period. That's not how we roll.
It's your data, so here's what you can do with it:
You can ask to see what info we have about you anytime.
If something's wrong or outdated, let us know and we'll fix it.
Want us to delete your info? Just ask. We might need to keep some stuff for legal reasons, but we'll delete what we can.
Don't want marketing emails? There's an unsubscribe link in every message we send.
We take security seriously - after all, we design structures that need to stand strong, and we approach data security with the same mindset.
Our website uses SSL encryption (that's the little padlock in your browser), we store data on secure servers, and we limit who on our team can access sensitive information. We also work with reputable service providers who meet industry security standards.
That said, no system is 100% bulletproof. We do our best to protect your data, but we can't guarantee absolute security. If we ever experience a data breach that affects you, we'll let you know ASAP.
We don't hoard data forever. Here's generally how long we keep different types of info:
Inquiry info: If you reach out but don't become a client, we'll keep your contact info for about a year in case you change your mind, then it's gone.
Project files: For actual clients, we need to keep project documentation for at least 7 years - that's a professional requirement in our industry. Some records might need to stay longer depending on the project type.
Website analytics: Usually stored for about 2 years, though it's mostly anonymized data anyway.
Sometimes we'll link to other websites - maybe a manufacturer's site for materials we recommend, or articles we think are interesting. Once you click those links, you're on their turf and their privacy policies apply, not ours.
We try to only link to reputable sites, but we can't be responsible for what they do with your data. Always a good idea to check their privacy policies too.
Our services aren't directed at kids under 16, and we don't knowingly collect their personal information. If you're a parent and think we might have info about your child, please let us know and we'll delete it.
We're based in Vancouver, Canada, so your data is stored and processed here. Canadian privacy laws are pretty solid, but if you're visiting from somewhere else, just know that your info is subject to Canadian law.
If you're in the EU or another jurisdiction with specific privacy rights, those generally still apply - just reach out and we'll work with you to honor those rights.
We might update this policy from time to time - technology changes, laws change, our practices might evolve. When we make significant changes, we'll update the date at the top and let you know if you're on our mailing list.
It's worth checking back occasionally to see if anything's changed. We'll try to keep it as readable as this version.
Look, we know this was a lot to read. If you've got questions about your privacy or how we handle data, or if you want to exercise any of your rights, just reach out. We're real people and we actually respond.
